Choosing your grade

How do I work out which grade fits me?

The honest starting point is the competence you can evidence today, not the grade you aspire to. As a rule of thumb: Associate (AInstAM) suits capable administrators working with growing independence — administrative officers, coordinators, executive and team assistants. Member (MInstAM) suits established professionals managing processes, projects, budgets, or people. Fellow (FInstAM) suits senior professionals whose work shapes functions and influences organisational decisions. Senior Fellow (SFInstAM) suits leaders at, or reporting into, board level — chief administrative officers, COOs, company secretaries, directors of professional services.

Does my job title matter?

No — experience is assessed on the substance and responsibilities of the role, not the title. If your title is modest but your responsibilities substantial, or the reverse, the assessment looks to what you actually do. Part-time experience counts in proportion, concurrent roles are counted once, and independent practice — including work as a virtual assistant — is assessed on the same basis as employed experience.

Are there tools to help me decide?

Yes, two, both running entirely on your own device: the IAM Progression Profiler walks you through self-assessment against the Progression Matrix domain by domain, and the IAM Grade Navigator turns your programmes, qualifications, and experience into a grade and route recommendation with a personal application report. Both are available through the IAM Portal.

Preparing your application

What evidence should I prepare?

For every route: a CV dating each role and its responsibilities. For the Recognition of Prior Learning route: certificates and transcripts of your qualifications. For every route: Statements of Professional Experience, completed in the form set out in Schedule A of the Membership Regulation. They are not an essay: they are guided fields — what the role covered, what you were accountable for, the scale of what you managed, and a short evidence statement against each Competency Domain — assessed against the Progression Matrix and the Annex A competence descriptions. Annex A of the Professional Standards lists the kinds of evidence commonly cited in each domain.

Can I use AI to complete my application?

Your Statements of Professional Experience must be your own work and evidence your own judgement. Work produced wholly or substantially through generative AI is grounds for refusal under the Membership Regulation and the Code of Ethics, and a false declaration is a disciplinary matter that can lead to termination and removal from the register. The assessment is designed around applied judgement in scenarios rather than recall, which is where borrowed answers show.

What happens after I submit?

You receive an acknowledgement the moment you submit. Maximum decision periods are ten working days at Member, Fellow, and Senior Fellow, seven at Associate, and five at Student, with admission automatic at Affiliate and Subscriber on registration and payment. Periods run from the working day after a complete application is received and stop while information is awaited. These are maxima; the Institute aims to decide sooner. If anything falls short, you get one 60-day opportunity to address it. If refused, you may request the grounds in writing, seek a review under the Appeals and Complaints Policy, and reapply after six months — and a refused upgrade never affects your existing grade.

Fees, renewal, and life events

How are fees structured?

Annual subscriptions for the assessed grades are tiered by your country of residence using the World Bank income classification — Tier 1 high-income, Tier 2 middle-income, Tier 3 low-income — determined by residence, not nationality, and denominated in sterling. A one-off application fee applies at first assessed application (never on renewals; waivable for hardship), a separate fee applies to upgrades, and a 14-day cooling-off period applies on joining and at every renewal. Honorary Fellows pay nothing.

What if I let my membership lapse?

Within 12 months, pay the outstanding fee and you are reinstated. Within 3 years of termination, a simplified route applies: a written request, the current subscription, and the application fee — no new assessment. After 3 years, a fresh application. Retiring members keep their post-nominals with the (Rtd) suffix at a reduced fee, and can stay involved through Active Retired mentoring.
